This policy explains how Groundbase processes personal data from visitors to this website and from people who contact us, and which cookies we use. It has been drafted in accordance with the General Data Protection Regulation (GDPR) and Belgian privacy law.

II. What data do we process
We only process personal data you actively provide to us, and anonymised data about your website visit.
Data you provide yourself
When you complete the download form on this site to receive a report, or when you contact us directly by email, we process your name, your company name and your email address. Any additional information you include in your message is processed as well.
Data from website use
When you visit this website, we collect anonymised data about your visit through Google Analytics — only when you have given consent via the cookie banner. This includes the pages you visit, the duration of your visit, the device you use and your country of origin. This data cannot be traced back to an individual.

III. What do we use this data for
To answer your question or send you the report.
When you download a report or get in touch, we use your data to send you the report and, where relevant, to answer your question. Legal basis: performance of a contract or pre-contractual measures at your request (Article 6.1.b GDPR).
For occasional follow-up.
If you have downloaded a report or contacted us, we may later get in touch with you on an occasional or limited basis with relevant updates about Groundbase. Legal basis: legitimate interest (Article 6.1.f GDPR). You can stop this follow-up at any time by replying to an email or by mailing hello@groundbase.be.
To analyse website use.
With your consent, we use Google Analytics to understand how visitors use our website, so we can improve it. Legal basis: consent (Article 6.1.a GDPR).
We do not use your data for automated decision-making or profiling.
IV. How long do we keep your data
Contact details resulting from a report download or email contact are kept for as long as is useful for the relationship, and in any case no longer than three years after the last contact. After that, they are deleted or anonymised.
Anonymised analytical data is retained according to the default settings of Google Analytics (currently fourteen months).
V. Who do we share your data with
We do not sell personal data and we do not share it with third parties for commercial purposes.
We use a number of external service providers to support the website and our operations. These providers process personal data on our behalf and are contractually bound by the same protection standards:
- WordPress hosting: Combell NV
- Analytics: Google Ireland Limited (Google Analytics, via Google Tag Manager)
- Cookiebeheer: Complianz BV
Form submissions are stored directly in the database of this website. They are not shared with external mailing platforms or CRM systems.
Some of the above providers may process personal data outside the European Economic Area. Where that is the case, we put in place the necessary contractual safeguards (standard contractual clauses of the European Commission) to ensure your data is adequately protected.
VI. Your rights
Under the GDPR you have a number of rights regarding your personal data:
- Right of access to the data we process about you
- Right to rectification of inaccurate data
- Right to erasure (“right to be forgotten”)
- Right to restrict processing
- Right to data portability
- Right to object to processing
- Right to withdraw consent previously given

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. Access to personal data is limited to what is strictly necessary for the operation of Groundbase.
